The booking flow
Six steps. One WhatsApp message to start.
Everything after the first message is the platform's job: policy, search, ranking, approval, confirmation.
Request
The employee sends one WhatsApp message. Free text, any language.
"Flight to Pristina Tuesday, back Thursday, under €200." That is the entire request. Flecto reads it, picks out the details, and starts searching.
Configure
Flecto applies the company travel policy automatically for that employee, role, and destination.
Budget cap, approved carriers, hotel tier, and approval threshold are all loaded without any manual input. Finance is not involved at this point.
Filter
Non-compliant options are removed before results are shown. Local inventory is prioritised.
Regional carriers and cross-border ground routes appear first. Policy violations are eliminated before the employee sees anything — not flagged after they have already booked.
Rank
Three options are presented: Best Match, Good Match, and Alternative.
Best Match balances policy compliance, price, and travel time. Each option shows exactly why it is ranked as it is.
Approve
If the trip exceeds the approval threshold — one WhatsApp reply. No login. 48-hour auto-escalation.
The approver receives trip details, cost, and policy status on WhatsApp. They approve or reject with a single word. If no response after 48 hours, it escalates automatically.
Confirm
PNR delivered on WhatsApp. Expense record created. PDF itinerary and calendar invite sent.
The traveller receives everything in under 60 seconds: PNR, PDF, and a departure reminder. Finance receives the expense record the same moment.

- How long does onboarding take?
- Most companies are live within one working day. We verify your company details, configure the platform, and set up approval chains during a guided session under 30 minutes.
- Do employees need to download an app?
- No. Booking via WhatsApp requires no app download. The web platform works on any device. A native app launches in Year 2.
- What happens if a booking falls outside policy?
- Out-of-policy bookings are flagged before confirmation and routed to the appropriate approver. The traveller sees the policy reason clearly.
- What languages does Flecto support?
- Albanian and English from Day 1. Serbian and Macedonian from Year 3. Requests are understood in every supported language.
- Can we integrate with our accounting software?
- Xero and Odoo integrations from Year 2. CSV export for any accounting system available on all plans from Day 1.
